Getting onboard with a new contract

1. Once the candidate has been selected, it is necessary to receive the following     information as soon as possible, once received the contracts will be sent.

Information required from the partner, first contracting:

  • Name:
  • Title:
  • Working Email:
  • Start Date:
  • Personal
  • Phone:
  • Rate:

Required candidate information for all contracts:

  • Name of legal representative
  • Legal name of the company
  • Address
  • Representative's email address
  1. Once signed, the onboarding of Simbiosis will be scheduled with the developer and the agency.
  2. The guidelines will be sent to be signed by the candidate.
  3. A couple of days before the start date the candidate will receive the kick off email.

Developer Kick off

These are promising IT professionals or agencies who are relatively new to the marketplace but show great potential and dedication. They may have limited experience in terms of projects completed through the marketplace, but they exhibit strong technical skills and a willingness to learn and grow..

  1. Introduction to the client: We have partnered with [client name] to fulfill their software development needs. You will be working on [project name or description]. Please familiarize yourself with the client's website and products/services to gain a better understanding of their business and goals.
  2. Communication channels: You will be communicating with the client's team via [communication channel]. Make sure to join the relevant channels and introduce yourself to the team.
  3. Technical requirements: The client requires that you use [list of programming languages, tools, and technologies required for the project]. Make sure that your computer meets the technical requirements for the project.
  4. Project timeline and deadlines: The client has provided a timeline for the project, which includes deadlines for specific deliverables. It is important that you stick to the timeline and meet the deadlines. Please let us know immediately if there are any issues that may impact the project timeline.
  5. Project management tools: The client uses [project management tool] to manage the project. You will be granted access to the tool, and we expect you to update the tool with your progress regularly.
  6. Reporting structure: You will report to [supervisor name] for this project. They will be your main point of contact and will provide guidance and feedback throughout the project. Also, it is of utmost importance that you maintain good communication with (name of agency) to report your progress, leave of absence, or any issues related to this project.

Agency Kick off

Congratulations on your new collaboration! We are thrilled to see our partners expand their network and opportunities. As an agency partner, you play a critical role in ensuring the success of our projects, and we're excited to have you onboard.

To help ensure that your partnership with us runs smoothly, we have outlined some key responsibilities and expectations that you should be aware of. These include:

  1. Human resource management: You will be responsible for maintaining regular communication with the candidate throughout the project, ensuring that they are informed and engaged throughout the process. You will also be responsible for managing key administrative tasks, such as salary, payment of licenses, equipment provision and maintenance, and any other associated expenses. Additionally, you will need to ensure that the developer attends and completes Simbiosis' onboarding process, including signing the Simbiosis guidelines to confirm their commitment to working in alignment with company values and standards.
  2. Time off requests: You will need to manage requests for time off in a timely and efficient manner, through use of the platform or other agreed channels.
  3. Feedback calls: You will need to attend feedback calls with the customer to ensure that expectations are met and any concerns can be addressed promptly.
  4. Reporting issues or concerns: You should report any issues or concerns in a timely manner, allowing for swift resolution and preventing potential delays or complications.
  5. Tracking developer performance: You will need to track developer performance on a weekly basis by assigning a member of your team to manage and monitor their progress, identify areas for improvement, and provide regular feedback to ensure optimal performance and client satisfaction.
  6. Adherence to Simbiosis protocols: Please review the different scenarios (Link) and how to proceed in each one.
  7. Adherence to ethical standards: It's important that you adhere to ethical standards in your recruitment practices, including respecting the confidentiality of candidate information and avoiding any discriminatory practices.
  8. Flexibility and willingness to adapt: As a partner, you should be flexible and willing to adapt to changes in Simbiosis' processes.

Days off, absences due to illness and vacations

Additional days off

We kindly remind you that any requested days off, in addition to those mentioned above, must be requested 30 days in advance and, if approved, will be without pay.

Process:

  1. The candidate should approach to  their manager and tell them about your plans.
  2. The agency will ask the client for the days off through the chat and will let you know the conditions of the days off, i.e. deliverables prior to the date, time allowed, etc.
  3. The candidate should  maintain constant communication with both the agency and the client to leave everything ready and up to date prior to your days off.
  4. The candidate should  re-integrate your activities on the agreed date.

Absence due to an emergency or illness:

In case of an emergency or illness that will affect my presence during working hours, I will notify both the manager and the agency immediately.

Absence due to technical contingencies:

In the event of any unforeseen circumstances, such as power failure, internet issues, or workspace inconvenience, I will promptly inform my manager and the agency while actively seeking solutions, including:

  1. Relocating to an alternative workspace if necessary.
  2. Making up for any missed hours of work.
  3. Notifying the agency and my manager promptly about any computer equipment issues, to resolve them as soon as possible.
